1. applications to attend

1.1

Where the Site invites you to submit an application to attend an event, submitting an application is a request to attend and does not constitute a confirmed booking or registration. Your application will be reviewed before any decision is made. We will confirm the outcome of your application separately; until we do so, you should not treat your application as accepted.

1.2

Applications may be assessed using a combination of automated tools (which compare your application against an event's stated criteria) and manual review by our team, save that final decisions are also subject to manual review. If you have questions about how your application was assessed, you may contact us using the details on the Site and request that a member of our team review the decision.

1.3

Cosmonauts reserves the right, in its sole discretion, to decline any application, including on the grounds that an event is at capacity, that the applicant does not match the intended audience or curation criteria for the event, or for any other legitimate business reason. Where your application is approved, you will be directed to complete registration and payment for your ticket.

2. sale of tickets

2.1

You are responsible for carefully examining the information and details included in the ticket upon receipt.

2.2

Cosmonauts reserves the right to introduce discounts and special offers at any time, and these cannot be applied to tickets already purchased. Only one discount can apply to any one

3. cancelled / rescheduled events / changes to agenda

3.1

Where an event is cancelled or rescheduled, we will use our reasonable endeavours to notify you using the details you provided us with at the time of ordering. When possible we will inform you of such cancellation at least 2 weeks before the date of the event.

3.2

It is your responsibility to inform us of any change to the contact address, telephone number or email address you provide us with at the time of ticket purchase.

3.3

Cosmonauts reserves the right to change the agenda, speakers or venue of the event(s) at its sole discretion. All ticket holders will be notified of any changes as promptly as practically possible on the contact information provided by you.

3.4

Speakers, programme and discussion details are correct at the time of sale or print publication, but amendments and changes are highly possible and may be unavoidable.

5. admission

5.1

Cosmonauts reserves the right to refuse admission, and to request any ticket holder to leave our building at any time. For example, if a ticket holder appears to be under the influence of drink and/or drugs and/or is acting aggressively, carrying offensive weapons or illegal substances, the ticket holder may be refused admission.

5.2

Cosmonauts reserve the right to refuse re-admission to any person not in possession of a ticket or the retained portion of the ticket.

Personal arrangements including travel, accommodation or hospitality relating to the event which have been arranged by you are at your own risk. Unless otherwise stated in this clause, our and the venue’s liability to you in connection with the event (including, but not limited to, in the event of cancellation, rescheduling or material change to the programme of the event) shall be limited to the ticket price paid by you.

6.2

Neither we nor the venue will be responsible for any loss, injury or damage to any person (including you) or property howsoever caused (including by us and/or by event partner(s)): (a) in any circumstances where there is no breach of a legal duty of care owed by us or the venue); (b) in circumstances where such loss or damage is not a reasonably foreseeable result of any such breach (save for death or personal injury resulting from our negligence); or (c) to the extent that any increase in any loss or damage results from breach by you of any of these Terms and Conditions and/or any terms and conditions of the event partner(s).

6.3

Cosmonauts or its agents may carry out photography, filming and sound recording in or around our venues for promotional, marketing and record-keeping purposes, on the basis of our legitimate interests in promoting and documenting our events. 7.2

These Terms should be read together with our Privacy Policy, Cookie Notice, Delegate Terms and Code of Conduct, each of which is available on the Site and forms part of your agreement with us. When you attend any Cosmonauts event, the Delegate Terms and Code of Conduct also apply to your attendance.

7.3

These Terms, and any dispute or claim (including non-contractual disputes or claims) arising out of or in connection with them or their subject matter, are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.

8. badge scanning and marketing consent

8.1

Badge Scanning Technology. The events utilise electronic badge scanning technology operated by exhibitors, sponsors, and other commercial participants ("Sponsors") to facilitate networking and business connections.

8.2

Consent Through Badge Scanning. When you choose to present your badge to a Sponsor to be scanned, you will be shown, at or before the point of scanning, clear information identifying the Sponsor. By choosing to present your badge to be scanned, you give a clear, affirmative indication of your consent to: (a) the collection of your contact details including name, job title, company, email address and telephone number; (b) the sharing of such information with that Sponsor; and (c) that Sponsor’s use of your information for post-event marketing communications and business development purposes. Consent is given separately in respect of each Sponsor that scans your badge, and you may withdraw it at any time as described in clause 8.5.

8.3

Voluntary Participation. Badge scanning is entirely voluntary. You may: (a) decline to have your badge scanned by any Sponsor; or (b) selectively choose which Sponsors may scan your badge.

8.4

Marketing Communications. Sponsors who scan your badge may contact you after the event for legitimate business purposes including: (a) follow-up communications regarding products or services discussed at the event; (b) marketing materials related to their business offerings; (c) invitations to future events or business opportunities.

8.5

Data Protection Rights. Your consent to badge scanning does not affect your rights under UK GDPR, including: (a) the right to withdraw consent for future marketing communications directly with the relevant Sponsor; (b) the right to request deletion of your data from the Sponsor’s systems; (c) the right to complain to the Information Commissioner's Office if you believe your data has been misused.

8.6

Roles and Responsibilities. As between you, Cosmonauts and the Sponsor, each Sponsor acts as an independent controller of the contact information it collects by scanning your badge and is responsible for its own use of that information. The respective roles and responsibilities of Cosmonauts and Sponsors in relation to this data, and the basis on which it is processed, are described further in our Privacy Policy.

8.7

Third-Party Responsibility. Each Sponsor is solely responsible for: (a) complying with applicable data protection laws regarding scanned information; (b) providing appropriate privacy notices for their data processing activities; (c) handling data subject requests and complaints; (d) maintaining appropriate security measures for collected data.

8.8

Sharing Independent of Badge Scanning. Separately from, and regardless of, whether you choose to have your badge scanned, we may also share basic professional information about you (such as your name, job title and company) with some Sponsors and event partners for event networking and delivery purposes, on the basis of our legitimate interests. Further detail on this sharing is set out in our Privacy Policy.

9. events run in partnership with another organiser

9.1

Certain events, or certain days within an event, are run jointly with a co-organising partner (a "Partnership Event"). When you register for or attend a Partnership Event, your registration and attendance data is jointly owned and used by Cosmonauts and the relevant co-organising partner, each acting as a joint controller of that data for its own lawful purposes, including that partner's own communications with you.

9.2

This sharing of data for a Partnership Event happens automatically as part of the event being run jointly and does not depend on badge scanning under clause 8. Cosmonauts remains your primary point of contact for exercising your data protection rights in respect of a Partnership Event, as further described in our Privacy Policy.

9.3

Badge scanning by Sponsors under clause 8 above operates separately from, and in addition to, any Partnership Event data sharing under this clause 9.
